OrbitZR vs Trello

A Trello alternative for teams that need to control when people have access and prove what was done.

Trello is the simplest way to run a kanban board, and that simplicity is why so many teams start there. OrbitZR covers the same kanban basics and adds three things Trello does not do natively: board access that turns on and off by schedule, a daily work log that cannot be edited once the day closes, and reporting you can export without adding paid extensions.

No credit card required. Free plan available.

Where Trello is the better choice

  • A far larger Power-Up and integration marketplace, built over more than a decade.
  • Brand familiarity. Most new team members have used Trello before and need no training.
  • A very generous free tier for small teams who only need boards.
  • Backed by Atlassian, which matters to procurement teams that require a large vendor.

Where OrbitZR is the better choice

  • Timed Access removes or read-onlys members outside their allowed hours, then restores them automatically. Useful when contractors should not reach client boards at 2am.
  • Daily Task gives one card per day that closes permanently at the end of the day, so the work record cannot be rewritten afterwards by anyone, including admins.
  • Reporting, automation, AI summaries and Sheets sync ship in the product rather than being assembled from third-party extensions.
  • One vendor and one bill instead of a base subscription plus several paid Power-Ups.

The two things Trello does not do

Timed Access

Restrict a board to a weekly schedule. Outside allowed hours, non-admin members are automatically removed or switched to read-only, then restored when the window reopens. Built for contractors, offshore teams and client boards where access should not be permanent.

Daily Task

One list holding a single card per day, split into Today and Past. Record the day as you work. When the day ends the card closes permanently and cannot be edited by anyone, including admins, so the log is a record rather than a draft.

OrbitZR vs Trello: common questions

Is OrbitZR a good Trello alternative?

If you need kanban plus access control, auditable daily records or built-in reporting, yes. If you only need a simple shared board and nothing else, Trello is hard to beat and OrbitZR offers no advantage worth switching for.

Can I move my Trello boards to OrbitZR?

Boards, lists and cards map directly onto OrbitZR equivalents, so the structure transfers cleanly. Contact us before migrating and we will help you plan it.

Does OrbitZR have automation like Trello Butler?

Yes. Pilot is the built-in automation engine, with triggers for card created, moved, completed, overdue, inactive and scheduled, plus manual and board-level buttons.

What does OrbitZR do that Trello cannot?

Three things specifically: schedule-based board access, a daily log that becomes read-only once its day ends, and AI generated project health with risks and blockers.

If you need something OrbitZR does not do, or you want a platform of your own built on the same foundations, the KawachTech software development team takes on custom engagements directly.

Product engineering

SaaS platforms built end to end, from multi-tenant architecture and billing through to the front end.

Mobile applications

Cross-platform iOS and Android apps, including the OrbitZR mobile app that ships alongside the web product.

AI integration

Practical AI inside real products, like the project health analysis and board assistant built into OrbitZR.

Custom business software
